This data processing agreement forms part of the Terms of Sale and Service and applies when you use PodcastPilot Call. When your remote guests participate in a call, we process personal data about them on your behalf. You are the data controller for your guests' data; Video People ApS, Værkstedsgården 15, ST, 2620 Albertslund, Denmark, CVR 41083972, is the data processor. The agreement applies for as long as you use PodcastPilot Call.
Real-time transport of audio and video between your guests and your studio, session administration (rooms, join codes, participant status) and usage metering for billing. We store no audio or video: streams are forwarded in memory and discarded. Any recording happens locally on your machine and is your responsibility as controller, including informing participants.
Data subjects: your podcast guests and participants. Categories of data: the name the guest enters, IP address and technical connection data, audio and video streams in real time, and session times and duration. The service is not intended for special categories of personal data; the content of the conversation is determined by you and your participants.
We process the data only on your documented instructions, which consist of your use of the service and this agreement, unless processing is required by EU or member state law. We will inform you if we consider an instruction to infringe the GDPR.
Signaling is TLS encrypted and media is SRTP encrypted in transit. Media is never stored centrally. Session data is stored on servers in the EU with access control, and access to production systems is limited to authorised persons. Persons authorised to process the data are subject to confidentiality.
You give a general authorisation to our use of sub-processors. Current sub-processors for guest data:
Changes to sub-processors are announced with 30 days' notice on this page. If you object, you may terminate your use of PodcastPilot Call before the change takes effect.
Transfers to LiveKit Inc. in the USA are based on the EU Commission's adequacy decision for the EU-U.S. Data Privacy Framework.
Taking the nature of the processing into account, we assist you within reason with requests from data subjects and with your obligations regarding security and impact assessments. We notify you without undue delay after becoming aware of a personal data breach concerning your guests' data.
Session data (guest name, times, duration) is kept for up to 12 months for billing documentation, after which guest names are anonymised automatically. On termination of your subscription, remaining guest data is deleted or anonymised within 90 days, unless statutory bookkeeping obligations require longer retention of billing records.
On written request, at most once per year, we provide the information reasonably necessary to demonstrate compliance with this agreement, such as descriptions of security measures and sub-processors' certifications.
Liability follows the limitations in the Terms of Sale and Service.
